Follow an order from document import to order entry and supplier delivery follow-up. Approximately 54 seconds, with no audio. The demo shows the Japanese interface.
WORKFLOW
Connect order intake with the work that follows
See what needs review, whether an order has been registered, and which delivery dates suppliers have confirmed.
- 01
Import the order
Extract the customer, products, quantities and requested delivery dates from fax, PDF, email or Excel.
- 02
Cross-check the details
Compare against product data, commercial terms and stock. Flag unidentified products and prices that do not match agreed terms.
- 03
Review and register
Compare the draft with the source document, make corrections and approve it. Track whether registration in your core system succeeds.
- 04
Manage purchasing and delivery
Link sales orders to supplier purchase orders. Track pending responses and delivery changes to support follow-up with suppliers and customers.
REVIEW AND APPROVAL
Review the order alongside the original document
- Inconsistent product names or unidentified products
- Unclear quantities or units
- Price or commercial-term mismatches
- Stock shortages or delivery-date conflicts
- Potential duplicate orders
YOUR TEAM’S ROLE
Define what to check and who approves
Make the source order and the data used for cross-checking available alongside the extracted result. Before implementation, define who can edit or approve each item and how failed registrations will be handled.
DATA
Start with your current documents and systems
There is no need to connect every system at once. First, identify which documents and systems hold the information your chosen workflow needs.
Source orders and emails
Fax, PDF, email and Excel. Review differences in document formats and the way customers describe their orders.
Product and customer data
Product codes, specifications, units and customer codes, including mappings between abbreviations and official names.
Prices, stock and commercial terms
Unit prices, minimum order quantities, stock levels and expected arrivals, with data retrieval and update dates.
Order registration systems
Sales management and core business systems. Assess API or CSV support, required fields, permissions and how to confirm registration results.
Information managed in Excel can also be included. Feasibility depends on the files, system configuration and contract terms.

Validate one order workflow first
- 01
Define the scope
Choose a customer or document format, then map the intake, review and registration steps.
- 02
Test with real documents
Check extraction and matching results. Measure corrections, processing time and missed checks.
- 03
Integrate and improve
Set approval procedures and error handling, then expand the scope after review by the operating team.
What we measure
Compare like-for-like workflows before and after implementation: time per order, extraction and matching corrections, duplicate entries, and the number and age of pending supplier responses.
What we discuss
How orders arrive, monthly volumes, your current systems and the most manual steps. Start by telling us about the workflow.
